1. Definitions

- AI-Generated Insights: Summaries, scores, or analytics created by automated algorithms (artificial intelligence) based on user-generated or enterprise data.
2. Data We Collect
- Account Data: Name, email, company, password, role, usage logs
- Candidate Submission Data: Video, text, quiz, assessments, uploaded documents, behavioral interactions (clickstream, etc.)
- Recruitment Analytics: Performance scores, AI-generated insights, interview scheduling details, recruiter notes
- Device/Session Data: IP address, browser/user agent, access times, device identifiers, security authentication information

We may receive employment information, performance references, or background check data from authorized data partners or as provided by recruiting employers.
3. How We Use Data
- To operate, maintain, and improve the Platform
- To deliver and personalize recruitment, assessment, and analytics experiences for companies and candidates
- To generate objective, AI-powered assessment and fit insights for recruiting decision-makers
- To detect anomalous or prohibited use, including anti-AI-cheating and content authenticity checks
- To fulfill contractual or legal obligations to enterprise customers
- To communicate important service or policy updates
- To comply with law, regulations, and legitimate law enforcement/government requests
Data may also be anonymized and used in aggregate for training/validation of platform algorithms, subject to safeguards and transparency notices.
4. Anti-AI Cheating Monitoring
- Automated Detection: Platform AI is used to identify assessment submissions generated with unauthorized or external AI tools and to flag potentially inauthentic content.
- Consequences: Individuals or entities detected using prohibited AI technologies to complete candidate assessments without disclosure or permission may be barred from current or future hiring processes. Enterprise clients may be notified.
- Repeated or egregious anti-AI violation attempts may result in account suspension or termination, as described in our Terms of Service.
5. AI Insights and Processing
Our core product feature is the generation of advanced, explainable AI insights from candidate and recruiter data. This includes but is not limited to:
- Communication clarity, skill, and engagement metrics
- Role fit scoring and candidate ranking
- Online presence/behavioral patterns
- Team matching and diversity indexes
- Summaries synthesized for profiling, reporting, and benchmarking
These insights are displayed to authorized enterprise platform users and may influence hiring, but direct hiring outcomes are determined solely by client organizations or their chosen representatives.
6. Cookies, Web Beacons, and Tracking
- Essential Cookies: Maintain authenticated sessions, ensure site functionality.
- Analytics Cookies: Analyze aggregate usage and improve features/user experience.
- Users can clear or disable cookies via their browser, but some features may be impaired.

7. International Data Transfers

10. Subprocessors and Third Parties
W3career engages carefully selected subprocessors, including but not limited to cloud providers, analytics tools, and background check services. At present, our key suppliers include:
- AWS, Cloudflare (infrastructure/cloud storage)
- Google Analytics (site analytics)
- OpenAI/Anthropic Claude (AI operations)
- Other recruiters or hiring tools as expressly disclosed
Subprocessors undergo contractual DPA review and are contractually bound to follow confidentiality, privacy and security requirements equivalent to our own commitments.
11. Children’s Privacy
Our Platform is not intended for persons under 16 years of age, nor do we knowingly collect or process data of minors. If you believe information regarding a child has been provided without appropriate guardian or parental consent, please contact us immediately at support@w3career.io.
